Citodex Technology Ltd ("Citodex") is registered in Delaware, United States. This policy covers this website and Citodex insurance workflow software. A customer agreement may provide additional terms for product data.

Information we handle

If you contact us, we receive your name, work email, company, message, and any phone number you provide. Our hosting and security services may process IP addresses, browser details, and request data. The contact form uses Cloudflare Turnstile to help prevent abuse. We do not use advertising cookies; security features may use essential cookies or similar technology.

In the product, brokers and producers may provide business and applicant details, contact information, questionnaire answers, and supporting documents for insurance submissions. This can include personal and commercially sensitive information.

How we use and share information

We use contact details to respond to inquiries. We process product data to provide and secure the workflow, prepare submissions, and send relevant information to the insurers or integrated providers selected for a quote or bind request. These may include CFC or Cowbell. Those providers make their own underwriting and coverage decisions. We also use service providers, including Cloudflare, to operate and protect the website and product. We do not sell personal information.

Brokers and producers are responsible for having authority to provide submission data and for giving notices required to the people it concerns. Our role with product data depends on the customer agreement and applicable law.

Legal basis and international transfers

Where UK data protection law applies, we rely on legitimate interests to answer business inquiries and secure the site. When we process product data on a customer's instructions, that customer determines the lawful basis for collecting and using it. Information may be processed in the United States and other countries. Where required, we use appropriate safeguards for international transfers.

Retention and security

We keep inquiries while needed to respond and manage a resulting business relationship. We keep product data for the period set by the customer agreement and applicable legal or recordkeeping requirements. We then delete or de-identify data when it is no longer needed. We use reasonable safeguards to protect it.

Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also have the right to complain to a data protection authority. To make a request, use our contact form and say it concerns privacy. We may need to verify your identity. For information submitted by a broker or producer, we may direct you to that organization.
